Do You Know Your Numbers? – It’s the start to effective cost management

Introduction

Effective cost management begins with a deep understanding of your financials. If you don’t have a clear picture of where your money is going…or who it is going to…controlling expenses becomes a challenge; it can be hit and miss. By knowing your numbers inside and out; you gain the ability to make informed decisions; reduce unnecessary costs; and free up monies for other uses or the bottom line.

Why Knowing Your Numbers is Crucial for Cost Control

While everyone agrees that knowing the numbers is important; it’s really difficult for one person to be across all the different categories; including the many indirect cost categories. From a cost management perspective; the following act as a reminder as to the importance of the numbers:

  1. Identifying Wasteful Spending


Small; unnoticed expenses can quickly accumulate and erode profitability. Regularly reviewing your data helps pinpoint unnecessary costs; such as underutilised; or duplicate subscriptions; excessive energy consumption and travel arrangements that often aren’t the most favourable or inefficient processes that inflate overheads.

  1. Improving Efficiency


A clear financial picture allows for better resource allocation. Analyzing costs and patterns is a good start; what are the priorities and what aren’t. Businesses can streamline operations; reduce waste and duplication; and optimise processes—all without compromising quality or productivity.

  1. Avoiding Cost Overruns


Without proper financial oversight; budgets can and do spiral out of control. Tracking costs in real time; or as close as possible; enables businesses to detect potential overruns early; and take corrective action before they get out of control. It always amazes me that I continue to see businesses with 7 figure spends on individual categories that don’t set budgets to measure against…so how do you know where your spend is at? Industrial consumables is one that comes readily to mind.

A clear understanding of your costs strengthens your ability to negotiate better terms with suppliers and contractors. It enables cost-saving opportunities like bulk discounts; alternative sourcing; and better pricing for high-volume items. Many organizations; especially in industrial consumables; mistakenly believe that shopping around saves money; when in reality; consolidating spend increases buying power.

Businesses that effectively manage costs are better positioned for growth. Whether expanding operations; upgrading technology; or hiring key talent; effective cost management ensures that organizations are not wasting critical funds and resources that can be put to better use internally. Despite most companies telling me that they have it all under control; it never ceases to amaze me the savings we find…

Where do we start: Turning Data into Actionable Insights

Often; financial data is trapped in PDFs or fragmented across multiple systems and or computers; making it difficult to drill down into specifics; such as the number of suppliers for a particular category. It’s not uncommon to discover a number of suppliers providing the same or similar items at different price points; creating inefficiencies; cost redundancies and wasted time.

Many businesses already have the data they need for cost management—it’s just not in a format that allows for effective analysis.

For some categories; approaching your suppliers can help with getting consolidated data sets of past purchases. It’s worth a question. The difficulty comes when there are many suppliers and they all do it differently.
